Booking Terms

Side Mission Travel Ltd

These Booking Terms & Conditions (“Terms”) apply to all bookings made with Side Mission Travel Ltd (“Side Mission”, “we”, “us”, “our”).

By paying a deposit or making a booking, you agree to be bound by these Terms.

 

Our Role

Side Mission acts as Principal organiser of curated land-only travel experiences.

International and domestic flights are not included unless explicitly stated.

Guests are responsible for arranging their own travel to and from the tour start and end location.

Side Mission Travel Ltd is not currently ATOL or ABTOT bonded. Our tours are sold as land-only travel experiences.

We are responsible for arranging the accommodation, activities and services specified in your booking confirmation.

 

Booking & Deposit

A booking is confirmed when:

  • A completed booking form is received; and

  • A non-refundable £200 deposit per person is paid.

Your booking is not confirmed until written confirmation is issued by us.

The deposit forms part of the total tour price.

 

Payment of Balance

The remaining balance must be paid no later than 8 weeks before departure.

If payment is not received by the due date, we reserve the right to treat the booking as cancelled by you and apply the applicable cancellation charges set out below.

Failure to pay on time may result in loss of your place on the tour.

 

Pricing

Prices are quoted per person unless otherwise stated.

We reserve the right to adjust pricing prior to booking confirmation due to:

  • Supplier cost increases

  • Currency fluctuations

  • Errors or omissions

Once your booking is confirmed and deposit paid, your price will not change except where increases arise from:

  • Government taxes or charges

  • Mandatory supplier surcharges outside our control

 

Minimum Group Size

All departures require a minimum of 8 guests.

If the minimum number is not reached, we reserve the right to cancel the departure.

In such circumstances, you will be offered either:

  • A full refund of monies paid; or

  • A transfer to an alternative departure (subject to availability).

We will notify you no later than 6 weeks before departure if cancellation is necessary due to minimum numbers.

 

Cancellations by You

All cancellations must be made in writing and are effective from the date received.

The following cancellation charges apply per person:

  • More than 8 weeks before departure: loss of £200 deposit

  • 8 to 6 weeks before departure: 30% of total tour price

  • 6 to 4 weeks before departure: 50% of total tour price

  • 4 to 2 weeks before departure: 75% of total tour price

  • Less than 14 days before departure: 100% of total tour price

Cancellation charges represent a genuine pre-estimate of the losses incurred by Side Mission Travel Ltd due to supplier commitments, accommodation contracts, operational costs and administrative expenses.

We strongly recommend comprehensive travel insurance that includes cancellation cover.

In certain circumstances, and entirely at our discretion, we may offer a transfer to an alternative departure or a credit towards a future Side Mission tour. This is not guaranteed and is subject to supplier recovery and availability.

 

Cancellations or Changes by Us

We reserve the right to:

  • Make minor itinerary adjustments due to weather, operational requirements or supplier availability

  • Substitute accommodation or experiences of a similar standard where necessary

If we must cancel a tour (other than for force majeure or minimum numbers):

  • You will receive a full refund of monies paid; or

  • You may transfer to another departure (subject to availability).

 

Force Majeure

We are not liable for failure or delay in performance due to circumstances beyond our reasonable control, including but not limited to:

  • Natural disasters

  • Government restrictions

  • War or civil unrest

  • Epidemics or pandemics

  • Supplier insolvency

  • Severe weather

  • Transport disruption

In such cases, refunds will depend on supplier recovery and non-recoverable costs.

 

Travel Insurance

Comprehensive travel insurance is strongly recommended and should include:

  • Cancellation cover

  • Medical expenses

  • Personal liability

  • Travel disruption

Side Mission is not responsible for personal losses, illness, injury, travel disruption or uninsured events.

 

Health & Fitness

Guests must ensure they are medically fit to participate in the tour.

It is your responsibility to:

  • Disclose relevant medical conditions

  • Seek medical advice where appropriate

We reserve the right to decline participation if safety may be compromised.

 

Guest Conduct

We reserve the right to remove any guest whose behaviour:

  • Endangers others

  • Disrupts the group experience

  • Violates local laws

  • Causes damage to property

In such cases:

  • No refund will be given

  • Any additional costs incurred will be the responsibility of the guest

 

Photography & Media

During tours, we may capture photography and video content for marketing and promotional purposes.

By participating in a Side Mission tour, you consent to:

  • Being photographed or filmed; and

  • The use of such media across our website, social media, marketing materials and promotional channels.

If you do not wish to appear in media, you must notify us in writing prior to departure.

 

Liability

We accept responsibility for delivering the services outlined in your booking confirmation.

However, we are not liable for:

  • Personal travel arrangements

  • Independent services booked outside your Side Mission package

  • Indirect or consequential losses

Nothing in these Terms excludes liability for:

  • Death or personal injury caused by negligence

  • Fraud or fraudulent misrepresentation

  • Any liability that cannot legally be excluded under UK law

 

Complaints

If you experience an issue during the tour:

You must inform the tour host immediately so we can attempt to resolve the matter.

Failure to notify us during the tour may limit our ability to investigate or remedy complaints after departure.

Governing Law

These Terms are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
